Billing Coordinator / Office Administrator

Job Description

We are looking for a reliable Billing Assistant to perform tasks that will help us monitor our revenues. You will be responsible for timely and accurate client record maintenance, client Billing and remittance, preparation of invoices, researching and resolving questions, complaints and grievances and ensuring information in all databases is accurate and properly documented. Primary interaction with clients and service providers is via written correspondence, so solid writing skills are essential.

This is an entry level position with room to grow. After a thorough understanding of the core capabilities of the job is exhibited and there is proven independence at performing daily tasks, Sierra has room to build out a more involved role. Onsite training is provided for our company's internal billing platform and procedures, but experience related to billing is preferred.


  • Manage client account balances and follow processes to recoup any outstanding fees.

  • Ensures timely deliver of billing cycled invoices to Clients.

  • Manage Multiple spreadsheets related to outgoing and incoming payments.

  • Manage Reporting for Monthly Regional specific clients, to ensure proper client accounts are always up to date with individuals Boards.

  • Prioritize daily, weekly and monthly recurring tasks, with high level organization and documentation.

  • Research and respond in a professional and timely manner by telephone and in writing, to inquiries from both clients and other Internal Staff.

  • Receive payments through various methods (check, online payments etc.) and run credit card transactions

  • Update records with new payments, balances, customer information etc.

  • Answer questions and handle complaints from customers regarding bills

  • Follow through on additional requests/projects as requested.


  • Excellent organizational and communication skills (verbal and written correspondence)

  • Billing Experience Preferred

  • Proficient in MS Office (especially Excel); Working knowledge of relevant systems (e.g. Basecamp, HighRise, Help Scout, Trello) will be appreciated, but not required

  • Some exposure to SAAS a plus

  • Experience with Google Suite a plus

  • Proficient in Windows operating system

  • Positive Attitude

  • High school diploma


This will be a full-time position with:

  • Hourly pay $12 -$15 an hour / 40 hour work week

  • Regular compensation reviews.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
