As Secretary, the incumbent provides a comprehensive range of secretarial, patient representative and administrative/coordinative duties to include, but not limited to:
Interacts with a wide variety of individuals from various areas and disciplines on many levels (e.g. Directors, supervisors, co-workers, maintenance staff, etc.). Maintains a calm and objective demeanor when dealing with difficult patients and/or family members. Coordinating the secretarial/clerical activities of the office. Comprehends written material and initiates proper action. Makes adjustments in work procedures and schedule to accommodate unexpected change. Provides guidance or assistance regarding policies or procedures. Transcribing meeting minutes from recording equipment and finalize in proper typed format. Proofread and edit correspondence for correct grammar, content, and format. Compose and prepare correspondence and reports of a medical or technical nature. Develop spreadsheets for tracking information. Schedules patient appointments. Maintains time and attendance records. Operate a variety of computer programs (Word, Excel, Access, Power Point), printers, and disk drives to complete tasks, organize files, etc. Keep an accurate account of expenditures for service/office fund control points. A qualified typist is required for Office Automation (OA) positions. You must be able to type at least 40 words per minute (wpm). You may qualify based on your experience and/or education as described below:
Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
utilizing a variety of office automation software; maintain a calm and objective demeanor when dealing with difficult patients and/or family members; interpret and explain office policies and procedures to other staff members and the public; coordinate the clerical activities of the office; coordinate the referral/resolution process; knowledge of medical terminology; uses a high degree of oral and written communication skills to interact with a wide variety of contacts; makes work process decisions based upon analysis, phases or issues involved in each assignment; and, efficiently completes work by providing timely follow through. OR Education:
As a general rule, education is NOT creditable above GS-5 for most positions (this is a GS-6 position) covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the secretarial position. You will be rated on the following Competencies for this position:
Customer Service Administration and Management Computer Skills Technical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note:
A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
